Privacy Policy

This policy explains what CYBIX collects, why, who else touches it, and how to get it erased. It is written to be read, not to be survived.

1. Who we are

CYBIX is a customer communication platform: a shared inbox, an AI agent (BIX), a ticket centre, and a messenger widget. This policy covers the CYBIX website, the dashboard at cybix.app, and the CYBIX iOS and Android apps. Where you use CYBIX to support your own customers, you are the controller of your customers’ data and CYBIX is your processor.

2. What we collect

  • Account data — your email address, workspace name, role, and language. Passwords are stored only as a scrypt hash; sign-in through Google stores no password at all.
  • Conversation data — the messages, attachments, and contact details that reach your workspace through the widget, WhatsApp, Telegram, or email, plus any notes, tickets, and call transcripts your team creates.
  • Device data — a push notification token per signed-in device, so the app can alert you to a new message. Removing the app or turning notifications off deletes it.
  • Diagnostics — server logs containing IP address, timestamp, and endpoint, kept to keep the service running and secure.

3. Camera, microphone, and notifications

The app asks for the camera and microphone only when you start a voice or video call with a customer, and for notifications only to deliver new-message alerts. Audio and video are streamed peer-to-peer for the call and are not recorded unless your workspace has explicitly enabled call transcripts. You can withdraw any of these permissions in your device settings at any time; the rest of the app keeps working.

4. Why we process it

To provide the service you or your employer signed up for (performance of a contract), to keep it secure and available (legitimate interest), and to meet legal obligations such as accounting. We do not sell personal data, we run no advertising, and we do not use your conversation data to train a public model.

5. Who else processes it

  • Hosting and database infrastructure, within the EU.
  • An AI model provider, when BIX drafts or answers a message. Only the text needed for that reply is sent.
  • Google Translate, when a message is translated on request.
  • Apple and Google push notification services, for the alert itself.
  • The messaging channels you connect yourself — WhatsApp, Telegram, your mail provider.

6. How long we keep it

Conversation and ticket data lives as long as your workspace does. Diagnostics are kept for 30 days. Deleting your account removes it immediately; if you are the last person in a workspace, the workspace and every conversation, ticket, contact, and knowledge document in it are erased with it, and that cannot be undone.

7. Your rights

You can access, correct, export, or erase your data. Account deletion is available in the app under Settings → Account → Delete account, and on the dashboard under the same heading — no support request needed. For anything else, or to lodge a complaint with your supervisory authority, contact us first and we will answer within 30 days.

8. Changes

We will post any material change on this page and, where it affects how your data is used, tell you in the product before it takes effect.
